WHO WE ARE

NJF Global Holdings Ltd, hereafter to be referred to as ‘NJF’, gathers and processes your personal information in accordance with this privacy notice and in compliance with the relevant data protection Regulation and law. This notice provides you with the necessary information regarding your rights and obligations, and explains how, why and when we collect and process your personal data.

We are registered on the Information Commissioner’s Office Register of Data Controllers under registration number ZA025448 and act as the Data Controller.  INFORMATION WE COLLECT

NJF processes your personal information to meet our legal, statutory and contractual obligations and to provide you with our products and services. We will never collect any unnecessary personal data from you and do not process your information in any way, other than already specified in this notice.

The personal data that we collect from is:

  • Home Address
  • Personal Email
  • Business Email
  • Home Telephone Number
  • Work Telephone Number
  • Mobile Telephone Number
  • LinkedIn Address
  • Special Category Data (e. if voluntarily released, NJF will hold information regarding your current, historical and/or desired compensation information)

 

We collect information in the following ways:

  • Online Job Application or contact form via our website; careers.njfsearch.com
  • Scheduled phone interviews
  • Submitted CV Data by email, post or electronic submissions
  • Public Online Websites

 

HOW WE USE YOUR PERSONAL DATA

NJF take your privacy very seriously and will never disclosure, share or sell your data without your consent, unless required to do so by law. We only retain your data for as long as is necessary and for the purposes specified in this notice. Where you have consented to us providing you with promotional offers and marketing, you are free to withdraw consent at any time.

The purposes and reasons for processing your personal data are detailed below:

  • To facilitate the recruitment process, by matching your details to job opportunities.
  • To allow details of your skills and experience, to be viewed by our clients whom we feel may be interested in engaging your services. Please be assured that your personal details will only be provided to our clients if you have given permission to us to do so.
  • To keep you informed of job opportunities and contract assignments which we think may be of interest to you via email and telephone.
  • To carry out our obligations arising from any contracts entered into between you and us. As a result, your information will be accessible to and processed by our recruitment consultants.
  • To preserve our business relationship with you as a user of our website and or candidate portal.
  • To keep you informed of the products and services (relevant to your sector and your professional interests) offered by us via relevant marketing communications. These could include information about recently registered candidates/consultants, market updates, new and retained opportunities that may not be advertised on the company website.
  • To carry out our obligations arising from any contracts entered into between you and us.
  • To notify you about changes to our service.

 

WHAT ARE YOUR RIGHTS?

You have the right to access any personal information that NJF processes about you and to request information about: –

  • What personal data we hold about you
  • The purposes of the processing
  • The categories of personal data concerned
  • The recipients to whom the personal data has/will be disclosed
  • How long we intend to store your personal data for
  • If we did not collect the data directly form you, information about the source

 

If you believe that we hold any incomplete or inaccurate data about you, you have the right to ask us to correct and/or complete the information and we will strive to update/correct it as quickly as possible; unless there is a valid reason for not doing so, at which point you will be notified. NJF have recently released a Candidate Portal to make it easier for you to access, review and edit your personal information. Please see the ‘Access to your personal candidate portal’ section below for further information.

You also have the right to request erasure of your personal data or to restrict processing in accordance with data protection laws, as well as to object to any direct marketing from us and to be informed about any automated decision-making that we use.

If we receive a request from you to exercise any of the above rights, we may ask you to verify your identity before acting on the relevant request; this is to ensure that your data is protected and kept secure.

ACCESS TO YOUR PERSONAL CANDIDATE PORTAL

 It is important for NJF to give all candidates and contacts the full disclosure of the information we hold on our records. Managing your Personal information records and or consent of disclosure can be done in the process outlined below;

  • When applying for a job advertised on our company website, http://careers.njfsearch.com/, you will be sent an automated email with instructions as to set up your profile and manage your recent application(s). Those applying outside of this environment will not receive an automated email to set a personal portal and will have to ‘Register’.
  • ‘Register’ a login via the menu tab on our Opportunities page; http://careers.njfsearch.com/user/register
  • Email data@njf.com for direct links or for any assistance in the methods above

Should any concerns arise during or after your review of data or you would like NJF to complete any of the administrative tasks above you can contact our Data Protection Officer.

YOUR PERSONAL INFORMATION – HOW WE SHARE AND DISCLOSE

We do not share or disclosure any of your personal information without your consent, other than for the purposes specified in this notice or where there is a legal requirement. NJF use third-party Clients to process data to support the recruitment process. All processors (Contractual Clients) acting on our behalf only process your data in accordance with instructions from us and comply fully with this privacy notice, the data protection laws and any other appropriate confidentiality and security measures.

OUR SAFEGUARDING MEASURES

NJF take your privacy seriously and we take every reasonable measure and precaution to protect and secure your personal data. We work hard to protect you and your information from unauthorised access, alteration, disclosure or destruction and have several layers of security measures in place, including: –

  • Exchange email encryptions
  • Strict Internal Practices and Policies to Processing and Retaining
  • Secured IT Infrastructure
  • Authentication Procedures upon request to release

 

DON’T WISH TO PROVIDE YOUR DATA?

You are not obligated to provide your personal information to NJF however, as this information is required for us to provide you with our services and legitimate interests in the Recruitment process, we will not be able to offer our products or services without it.

HOW LONG DO WE KEEP YOU DATA?

NJF only ever retain personal information for as long as is necessary and we have strict review and retention policies in place to meet these obligations. To ensure you do not forget where your data is held NJF aim to contact all data subjects every 12 months to notify you that we hold your personal data, giving you the opportunity to manage your data accordingly. We are required under UK tax law to keep your basic personal data (name, address, contact details) for a minimum of 6 years after which time it will be destroyed.

Where you have consented to us using your details for direct marketing, we will keep such data until you notify us otherwise and/or withdraw your consent.

SPECIAL CATEGORY DATA

Owing to the consultancy services that we offer, NJF may sometimes request sensitive personal information from you to proceed with Offers made by our Clients. Where we collect sensitive personal data, we will only request the information required for the specified purpose and always ask for your consent via written email and or post. You can modify or remove consent at any time, which we will act on immediately, unless there is a legitimate interest or legal reason for not doing so.

MARKETING AND KEEPING IN TOUCH

Occasionally, NJF would like to contact you with details of company newsletters to report changes or promotional offers and live job lists. If you consent to us using your contact details for these purposes, you have the right to modify or withdraw your consent at any time by using the opt-out/subscribe options or by contacting NJF directly.

LODGING A COMPLAINT

NJF only processes your personal information in compliance with this privacy notice and in accordance with the relevant data protection laws. If, however you wish to raise a complaint regarding the processing of your personal data or are unsatisfied with how we have handled your information, you have the right to lodge a complaint with the supervisory authority.

NJF take your privacy seriously, we rely on Legitimate Interest on the basis of processing your data. NJF ensure your personal data is not processed to any third party (our Contractual Clients) without prior consent from you.

By ticking to ‘accept our Terms of Business’ you consent to us collecting and processing your data, once you have connected with a member of our team we will gain consent to process it with our third party Clients thereafter.
